Room requirements
- usually one big room for plenary (500-900), can also be the entrance if big enough
- many small rooms (20-50) some rooms for 100-200 people
- some might need video projectors but not all
- in case of big room: audio amplification (with possibility to retrieve the signal for recordings)
- in case of room with projector: good lighting system for showing both well: speaker and slides
- good wifi reception for masses of people, needs to be better than traditional because everybody is an active participant and should blog, twitter, upload photos.
- even better: cable bound network
Catering requirements
Maybe same as traditional conferences but one should think about keeping this out of the costs and people can choose themselves what to get. Here close by shops and cafeteria etc. is helpful.
A Conference Dinner might still be nice. Coffee and cold drinks should be provided anyway.
Planning requirements
No deadlines, just a wiki where people voluntarily can put their ideas for sessions/topics like here: http://www.flickr.com/photos/mrtopf/538575903/
- All planning on location: Big wall with room/time slot grid and A4 paper slot is needed
- Session presentations every morning but with the possibility to change things later and add new sessions
- One explanatory plenary session at first morning
- Reminder that people need to blog/tweet about it.
